QBA Tournament 2025 Terms and Conditions

Please read this document carefully. By registering, you confirm that you have read and agree to the Terms and Conditions below.

These Terms and Conditions form the legal basis between you as a participant (the Participant) and Vereniging Queer Badminton Amsterdam Badminton(QBA) and its delegated members (the Organising Committee) for participation in the QBA Tournament 2025 (the Tournament) taking place on 28 June 2025.

The Organising Committee

The Tournament Organising Committee consists of:

  • Matthias Sennwitz;

  • Oliver Sorby;

  • René van den Hoogen;

  • Riza Nugraha;

  • Thomas Aquino Graaff.

The composition of the Organising Committee is subject to change at any time.

Tournament Information

The official Tournament website is https://tournament.queerbadmintonamsterdam.nl/. This website contains the most up-to-date information about the Tournament and takes precedence over all other forms of communication.

Registration

  1. Online registration is open from (CEST)22 March 2025 until the Tournament is sold out.

  2. Registrations is performed online and requires a valid and unique email address.

  3. Once closed, registration may be reopened to additional attendance at the

    discretion of the Organising Committee.

  4. Individual registration is only complete when we have received your full payment.

  5. The minimum age for participation in the Tournament is 18 years.

  6. The Participant must fill in all necessary information truthfully. Failure to do so

    may result in cancellation of the registration or reclassification to a different level. The Organising Committee reserves the right to cancel any registration that does not meet the registration conditions or which seems unacceptable.

  7. Any changes to existing registrations should be made via the official website before registration closes. Changes are not official until confirmed. Unclear requests will be handled with a lower priority.

  8. If the maximum number of participants for an event is reached, registration for that event will be closed. You can apply to be put on the waiting list via the web form, in which case you will be contacted if additional spaces become available.

  9. A request for cancellation must be emailed to tournament@queerbadmintonamsterdam.nl and is only official after confirmation of receipt.

Payments & Refunds

  1. Payment must be made online.

  2. Refunds are available on the following basis: 50% refund if the Participant

    cancels by 31 May 2025.

  3. After 31 May 2025 there is no refund for cancellation.

  4. Full refund if the Tournament has to be cancelled by the Organising Committee

    due to a low number of registrations.

  5. Full refunds will be subject to a €5 administration fee.

General Terms

  1. The Organising Committee may delegate certain tasks to officials, such as referees.

  2. All decisions made by the Organising Committee, the tournament directors or the officials are final, and no appeal is possible.

  3. Specific rules and regulations apply to badminton, and we will abide by such rules, with the Organising Committee having final say on all related matters.

  4. Specific conditions of use are placed by the Tournament venues and facilities.

  5. The Participant must comply with these rules, regulations and conditions and with all instructions given by the Organising Committee or the qualified officials during the Tournament.

  6. The Participant must be present at the specified competition times. Failure to be present on time or to notify the Organising Committee of a delay will result in immediate forfeit and may result in immediate disqualification from Tournament competitions and/or from the Tournament.

  7. Failure to comply with the Terms and Conditions may result in immediate disqualification from tournament competitions and/or from the Tournament.

  8. Participation in the Tournament events is restricted to registered Participants.

    The Participant must be able to provide identification to prove their registration at any request by t h e Organising Committee or the qualified officials during the Tournament.

  9. The Organising Committee may reclassify a Participant to a different level, category or other classification, without explanation, if they suspect that the Participant’s chosen level, category or other classification is inappropriate. The Organising Committee may also eliminate or combine levels, categories or other classifications at their own discretion.

  10. The Organising Committee reserve the right to cancel or postpone the Tournament events, to change venues and/or to change timetables of events. Participants will be notified of any changes as soon as possible.

  11. The Participant agrees that medical personnel may perform first aid and medical treatment as deemed necessary, including specialized medical care in hospitals or health care institutions.

  12. The Participant is in agreement with the regulations on banned substances as published by the International Olympic Committee. Failure to comply will result in disqualification

  13. People who identify themselves as transgender may compete in their transitioned gender by providing proof of undergoing medical treatment for at least two years or completed gender reassignment through surgery. No additional documentation is required to register in the gender shown in their passport.

Liability

  1. The Participant confirms that they are fully familiar with badminton, have sufficient experience and are informed about the associated risks.

  2. The Participant confirms that they are sufficiently physically fit and in a healthy state required to participate and are not aware of any serious medical condition that would prevent them from participating in these physical activities. To prevent any doubt, for the purposes of this clause a HIV-positive diagnosis does not qualify as a ‘serious medical condition’.

  3. The Organising Committee cannot be held responsible for any accident, theft, material or physical damage incurred by the participants during the Tournament. All participants must be properly insured for all activities during the period of the Tournament, either as individuals or through their clubs. T h e Organising Committee has no obligations in this respect.

  4. The Participant indemnifies the Organising Committee against liability for loss or damage that third parties may suffer as a result of actions or omissions attributable to the Participant in relation to the Tournament.

  5. The Participant indemnifies the Organising Committee against liability for loss or damage that a third party might suffer as a result of the Participant, during their participation in the Tournament, unless this loss or damage is the direct result of intent or gross negligence attributable to the Organising Committee.

  6. Any claims against the Organising Committee and/or the associated organising venues must be made in writing. Any claim should be made immediately and in writing within seven days after the incident. If the Organising Committee can be held liable for loss or damage incurred by the Participant, the obligation of the Organising Committee to compensate for that loss or damage is limited to the amount that the Organising Committee’s insurer pays in this regard.

  7. The Organising Committee and the Tournament are in the Netherlands and therefore fall under the laws exclusive jurisdiction of the Netherlands. Any conflict with the Organising Committee is subject to the laws of the Netherlands only, and the exclusive place of jurisdiction is Amsterdam.

Multimedia/Copyrights/Privacy

Each Participant gives the Organising Committee the absolute right and permission to use their name, voice, photograph, image, video or film in the context of the Tournament sports activities and festivities in a discreet manner and in any media, at any time for any lawful purpose, without prior inspection or approval by the Participant.

  1. Images may be displayed on the Tournament website or on the Official QBA Facebook, Instagram and on other social media. We will do our best to ensure that no degrading images are released. If you prefer not to appear in our photo gallery, please let us know by sending an email to tournament@queerbadmintonamsterdam.nl, and we will do our best to accommodate your request.

  2. The Participant will neither compete with nor intervene in the rights of the sponsors of the Tournament.

  3. The Organising Committee will do its best to accommodate preferences where possible.

  4. The Participant agrees that personal data collected during registration may be stored for the purposes of future communications and newsletters from the Organising Committee and QBA. All stored data will be deleted upon request by the Participant.
